There is no single "best" band management app. The right choice depends on what your band actually does: a wedding band juggling deps and deposits needs something different from an original band booking a tour, or a covers trio that mainly needs setlists on an iPad.

This guide looks at the main options fairly — including our own — so you can decide what suits your band. Features and pricing change, so always check each product's current website before you commit.

What to look for

Before comparing apps, list what you need. Common needs for UK gigging bands:

  • Calendar and availability — who is free, which dates are held, confirmed or pencilled
  • Gig details — venue, times, contacts, running order in one place
  • Setlists and songs — repertoire, keys, charts, lyrics, stage view
  • Money — fees, expenses, pay splits, invoices
  • Deps and crew — giving them access without sharing everything
  • Communication — chat, announcements, reminders
  • Client-facing tools — contracts, enquiries, payments (especially for wedding and function bands)
  • Promotion — gig listings, press kit
  • UK specifics — pounds, VAT, UK tax year, UK date formats

Then consider:

  • Price model — per user, per band, or free with paid features
  • Platforms — iPhone, Android, tablet, web
  • Ease of use for the least technical person in the band

BandHelper

BandHelper is a long-established app for bands, available on iOS and Android phones and tablets, Mac and PC, and web browsers.

Strengths:

  • Deep song and setlist features: lyrics, chords, tempos, attached recordings and documents, drag-and-drop setlists, auto-scrolling on stage
  • Stage tools for performers who use backing tracks, click tracks and MIDI or OSC control
  • Scheduling with event requests that members can accept or decline, automated reminders and availability requests (on its paid tiers)
  • Contact management, and on its top tier, finance tracking with invoices and stage plots
  • Wide device support

Worth considering if: your band leans heavily on on-stage tools — charts, auto-scroll, backing tracks and MIDI automation — and you want those deeply integrated with your setlists.

Things to check: which features sit in which subscription tier, how pricing works for your band size, and whether its money and contract features cover what your function work needs.

Bandsintown for Artists

Bandsintown for Artists is a different kind of tool. It is focused on promoting your shows to fans rather than running the band internally.

Strengths:

  • Free to list your shows
  • Your dates appear across the Bandsintown app and website and partner platforms
  • Fans who follow you (and nearby concert-goers) can be notified about your shows
  • Messaging tools to reach fans and analytics showing where your audience is

Worth considering if: you are an original or touring band selling tickets to the public. It is widely used and complements whatever you use internally.

Things to know: it is not designed for private bookings like weddings, internal availability, pay splits or crew management. Most bands that use it also use something else to run the band.

General-purpose tools: WhatsApp, Google Calendar, Sheets and Docs

Many bands run perfectly well on free, general tools:

  • WhatsApp or another messaging app for chat
  • A shared Google or Apple calendar for gigs
  • A spreadsheet for money and pay splits
  • Shared folders for charts, contracts and recordings

Strengths:

  • Free or very low cost
  • Everyone already knows how to use them
  • Flexible — you can build exactly what you want

Weaknesses:

  • Information is spread across several places and goes out of date
  • Hard to control who sees what (deps seeing fees, for example)
  • No automation — reminders, invoices and splits are all manual
  • Depends heavily on one organised person

Worth considering if: you are a small band with a handful of gigs a year, or you are not ready to change how you work.

Accounting software

Tools like Xero are designed for business accounting rather than band management, but many busy bands — especially limited companies and VAT-registered bands — use one alongside a band app. Accounting software handles bookkeeping, bank reconciliation and tax returns; a band app handles gigs, people and setlists. Look for a band app that can pass invoices and payments across, so you are not entering everything twice.

Dedicated chart and setlist apps

Some musicians use dedicated sheet music or chord-chart apps on tablets for performing. These excel at displaying charts on stage, with page-turner pedal support, annotations and setlists. They are usually personal tools rather than band management systems. If stage display is your main need, they are worth a look — and some bands use them alongside a band management app.

BandQuill

BandQuill is our product, so take this section with that in mind. It is built in the UK for working bands — particularly function, wedding and covers bands, and the deps and crew who work with them.

What it covers:

  • Shared calendar with availability, date polls and calendar sync
  • Gig sheets with day-of-show timelines, line-up confirmations and automatic reminders
  • Song library, drag-and-drop setlists with running time and energy ratings, stage mode, and sheet music by part
  • Fees, expenses, mileage and automatic pay splits; invoices; UK tax-year export
  • Deps: a pool by instrument, one request to several deps, first to accept gets the gig
  • Contracts with e-signatures, website enquiry forms, a client portal and card payments straight to the band (Pro)
  • Xero sync (Pro), tours and travel plans, guest lists, stage plots and input lists, PRS setlist reports, EPK page
  • Free logins for crew and deps, with permissions so they only see their own gigs and fees

Pricing: Free (£0), Band (£8 a month), Pro (£15 a month) and Agency (£24 a month), including VAT, per band rather than per person. Crew and deps are always free, and paid plans come with a 14-day free trial.

Platforms: works in any browser and can be installed to your phone's home screen. Native iPhone and Android apps are coming soon.

Worth considering if: you run a gigging band with deps and crew and want calendar, gigs, money and client paperwork in one place, priced in pounds for UK bands.

Things to know: if your main need is deep on-stage automation with backing tracks and MIDI, a performance-focused app may suit you better for that part of the job.

How to choose

  1. List your top three problems. Is it finding dates? Chasing money? Getting deps up to speed? Pick the tool that solves those best.
  2. Count the people. Per-user pricing can get expensive for bands with lots of deps and crew.
  3. Try before you commit. Most tools have a free plan or trial. Use it for a real gig, not a pretend one.
  4. Involve the band. The best tool is the one everyone actually uses.
  5. Do not be afraid to combine. Bandsintown for fan-facing listings plus a band management app internally is a common, sensible set-up.

Final thoughts

Switching tools takes effort, so choose based on how your band works today and where it is heading. A band that plays ten pub gigs a year has very different needs from a function band doing 80 weddings. Whatever you pick, the goal is the same: less admin, fewer missed messages, and more time playing.
